Online swaps - instructions for schedulers
You build schedules in OnCall but once they are completed, people invariably request last-minute days off or agree to trade shifts with colleagues. You can make the changes and republish the schedule to amion.com, or if you trust your staff to trade shifts on their own, you can enable an option that lets people swap shifts online.

Go to File / Preferences and select Online Options. Turn on the option to Let staff swap shifts online.

The amion server uses email to negotiate trades between staff. You must have people's email addresses in OnCall for them to be able to swap shifts.

How you enter email addresses depends on whether you're using the resident-style academic-year model or the simpler calendar-year schedule.

For residency schedules, put a block page on screen and click on a person's name in the left-most column. For calendar-year schedules, click the face icon in the main toolbar to go to a person's work-preferences calendar. Hold the <Ctrl> key down when clicking the icon to get the work-preferences in a more condensed table format.

In the lower-left corner of the Infobox, you'll see three boxes for pager #, telephone # and email. Email addresses go in the bottom box. Mouse over any box to see what field it represents.

Republish your schedule complete with email addresses to the web and the new feature will be ready to work. View the schedule online and you should see a new swap icon on the main toolbar.

The swap features assumes people have agreed beforehand to a trade. One person logs in at amion.com to submit the trade. The server emails the other person for a confirmation. Trades appear in the online schedule only after the second person OKs the change. Once confirmed, the web site emails the first person to say the colleague accepted the trade. It also emails you the scheduler so that you have a record of all the trades people submit online.

Each time you open the schedule for editing, OnCall contacts amion.com to check for changes submitted online. If people have submitted swaps, OnCall downloads them automatically. It checks for swaps again when you publish a schedule back to  amion.com in case people submitted swaps while you were working on the schedule.
